Booking & Payment FAQs

How do I make a booking?

Through our bespoke-built online booking system. To start making bookings, all you need to do is to register an account or log in.

Our booking system has successfully processed over 750,000 session bookings, since its launch in 2016, and continues to be improved and updated. Registration is completely free, a one-off task and should take no longer than 5 minutes.

How late can I book?

Midnight of the night before a session takes place. We are not able to accept bookings on the day (and are not able to accept any children that arrive at club without a booking)

This deadline is in place to guarantee the accuracy of our registers and ensure effective safeguarding of the children attending.

How far in advance can I book?

For ad-hoc bookings, the furthest in advance you can book is 6 weeks ahead of today’s date.

This does not apply to permanent bookings, which guarantee your spaces indefinitely.

What payment methods are available?

We can accept payments via Card, Childcare Vouchers or the Tax-Free Childcare scheme.

Payments cannot be accepted via BACS or cash (at club or our office).

How do I pay via Childcare Vouchers or using the Tax-Free Childcare scheme?

Simply process your Childcare Voucher or Tax Free Childcare payment and, once it reaches us, we will credit your account balance.  Your account balance can then be used as a payment method when making bookings.

For permanent bookings – monthly bills are processed in advance on the 1st.  Please allow 10 working days for payments to reach us to avoid any balance being taken from the default payment card.

For ad hoc bookings – you will need to send a CCV or TFC payment in advance to credit your account balance prior to making your booking.

To avoid delays processing your payment, please provide us with your child’s unique TFC reference in advance; or use the child’s full name for CCV payments.

Can I send Childcare Vouchers or Tax-Free Childcare payments without making a booking?

You can send Childcare Vouchers or Tax-Free Childcare payments to us at any point.

Indeed, many customers build and maintain a surplus in their Account Balance to avoid waiting for individual payments to clear when making ad-hoc bookings; or to help budget for school holiday camp bookings.

What are your Childcare Voucher registration details?

Please click here to view registration details for each Childcare Voucher Provider we are registered with.

If your childcare voucher provider is not listed, please contact us and we will be happy to register with them.

How do I register a Payment Card?

To pay by card, customers must register card details through their online account.  Once a card has been registered, this can be used to pay for any future bookings.

To register a card, log in to your account and select ‘My Payment Cards’ from the ‘Finance’ dropdown menu.  Here you can register (one or multiple) cards and select your default card.

When do I have to pay (for Ad-Hoc Bookings)?

Payment is due at the time of booking, as the final step in completing the booking.

Customers can select whether to make payment from their account balance or a registered payment card.

When do I have to pay (for Permanent Bookings)?

Payment for permanent bookings is due in advance, on the 1st of each month, for all sessions within that month.

Payment will be taken from a customer’s account balance if possible, with any further fees owed taken from the default payment card.

An email reminder is sent on the 20th of each month, to advise customers that they have a permanent bill payment due to be processed on the 1st of the following month.

What are the cancellation terms (for Ad-Hoc Bookings)?

1 week’s notice is required to receive credit to the value of the session(s) cancelled. Credit can be retained on your account balance or refunded upon request.

What are the cancellation terms (for Permanent Bookings)?

1 month’s notice is required to permanently reduce or cancel your regular weekly booking pattern. Cancellations of individual dates are not eligible for credit or refund.

Do I need to cancel a session if I know my child won’t be attending?

Yes, it is very important to cancel your child’s session online if you know they will not be attending club.  This helps us avoid implementing our missing child procedure (which ultimately results in us contacting the police to help locate the child) when there is no need.

To cancel a session, simply log into your online account and select ‘Cancel Individual Bookings’ from the ‘Bookings’ dropdown menu.  You can then cancel any session with just two clicks: ‘Edit’ and ‘Cancel’.

What if I forget to cancel my booking for after school club?

Parents receive an automated booking confirmation email, at 9am, each day that their child is booked to attend after school club.  This is a safeguarding measure, designed to prompt you to cancel your child’s session if they will not be attending that afternoon.

If your child will be attending club as normal, you do not need to acknowledge or respond to this email.
